Welcome to Tribe Systems.
These Terms and Conditions govern your access to and use of the Tribe Systems website, platform, applications, features, and related services.

By accessing the website, creating an account, joining a tribe, or using any part of the Services, you agree to these Terms and Conditions and our Privacy Policy. If you do not agree, you must not access or use the Services.
1. About Tribe Systems
Tribe Systems is a private coordination platform designed to help families, households, caregivers, roommates, and other trusted personal groups organize everyday life together.
Depending on availability and your selected plan, the Services may include:
Shared calendars
Tasks and responsibilities
Reminders and notifications
An AI group assistant
Shared lists and notes
Expense tracking
Private document storage
Household and group coordination tools
Other related features introduced by Tribe Systems
We may add, remove, modify, suspend, or improve features as the platform develops.
2. Eligibility
You must be at least 18 years old and legally capable of entering into a binding agreement to create an account.
A parent or legal guardian may use the Services to organize information relating to children or other dependants. Minors may only access the Services through an account or tribe managed and authorized by a parent or legal guardian.
The Services are not intended for children under 13 to create or independently operate their own accounts.
By using the Services, you confirm that the information you provide is accurate and that you meet these eligibility requirements.
3. Accounts and Account Security
Certain features require you to create an account.
You agree to:
Provide accurate, current, and complete information
Keep your account information updated
Protect your password and login credentials
Prevent unauthorized access to your account
Notify Tribe Systems promptly if you suspect unauthorized activity
You are responsible for activity conducted through your account unless the activity results directly from a security failure caused by Tribe Systems.
You may not share your login credentials with unauthorized individuals or use another person’s account without permission.
4. Tribes and Member Invitations
A tribe is a private group created within the Services.
The person who creates or manages a tribe may invite other individuals to participate. Tribe administrators may have the ability to add members, remove members, assign permissions, and manage information within the tribe.
You are responsible for inviting only individuals whom you trust and for confirming that you have permission to provide their contact information.
Members may have access to information shared within the tribe according to their assigned permissions. You should not upload or share information that other members are not authorized to view.
Tribe Systems is not responsible for the conduct of tribe members or for information that an authorized member shares, copies, downloads, or distributes outside the Services.
5. User Content
The Services may allow you to upload, create, store, or share information, including:
Calendar events
Tasks
Notes
Messages
Lists
Receipts
Expense information
Contact information
Family and household records
Documents
Photographs
Care instructions
Emergency information
Other materials
This information is referred to as User Content.
You retain ownership of your User Content.
You grant Tribe Systems a limited, nonexclusive license to host, store, process, reproduce, transmit, and display your User Content only as reasonably necessary to operate, secure, maintain, and improve the Services.
You confirm that:
You own the User Content or have permission to use it
Uploading the User Content does not violate another person’s rights
You have any consent required to share information about another person
The User Content does not violate applicable law
You remain responsible for the accuracy, legality, and appropriateness of your User Content.
6. Sensitive and Important Information
Tribe Systems may help users organize personal, family, medical, financial, insurance, travel, and emergency information.
The Services are an organizational tool only.
Tribe Systems is not:
A medical provider
An emergency service
A financial institution
An accounting service
A legal service
An insurance provider
A substitute for professional advice
You should not rely exclusively on Tribe Systems to store the only available copy of critical documents or emergency information.
You are responsible for maintaining appropriate backups of important records.
In an emergency, contact the appropriate emergency service or qualified professional directly.
7. AI Group Assistant
Certain features may use artificial intelligence to summarize discussions, suggest plans, identify tasks, create reminders, or provide organizational assistance.
AI generated content may occasionally be incomplete, inaccurate, outdated, or inappropriate for your particular situation.
You are responsible for reviewing AI generated content before relying on it, sharing it, assigning responsibilities, or making decisions based on it.
The AI Group Assistant is not intended to provide medical, legal, financial, psychological, safety, or other professional advice.
Tribe Systems does not guarantee the accuracy or completeness of AI generated responses.
8. Shared Expense Tools
Expense tracking features are provided for informational and organizational purposes.
Tribe Systems does not:
Process reimbursements unless specifically stated
Act as a bank or payment provider
Verify the accuracy of expenses
Determine whether an amount is legally owed
Guarantee repayment by another member
Provide tax, financial, or accounting advice
Users are responsible for reviewing expenses, resolving disagreements, maintaining receipts, and completing payments through appropriate payment services.
9. Document Vault
The Document Vault may allow users to upload and organize documents and other records.
You are responsible for deciding what information to upload and who should be permitted to access it.
You should retain separate copies of essential documents. Tribe Systems does not guarantee that the Document Vault will satisfy legal recordkeeping, regulatory, professional, insurance, medical, or archival requirements.
You must not upload documents that you do not have the legal right or necessary permission to store.
10. Privacy
Our collection and use of personal information are described in our Privacy Policy.
By using the Services, you acknowledge that information may be collected, processed, stored, and transmitted as described in that policy.
You are responsible for obtaining any permission required before entering another person’s personal information into the Services.
11. Acceptable Use
You may use the Services only for lawful personal, household, caregiving, or group coordination purposes.
You must not:
Use the Services for illegal, fraudulent, abusive, or deceptive activity
Harass, threaten, impersonate, stalk, or harm another person
Upload malicious code, viruses, or harmful software
Attempt to gain unauthorized access to an account, tribe, server, or system
Interfere with the security or operation of the Services
Circumvent access controls or usage limitations
Reverse engineer, decompile, or attempt to extract source code except where legally permitted
Use automated tools to scrape or collect information from the Services
Upload content that infringes intellectual property, privacy, or other legal rights
Use the Services to distribute spam or unauthorized advertising
Use the platform to monitor another person without their knowledge or lawful authority
Upload unlawful, exploitative, or abusive content involving children
Use the Services in a way that could damage Tribe Systems or other users
We may investigate suspected violations and restrict or terminate access when reasonably necessary.
12. Subscriptions, Fees, and Payment
Some Services may be offered through free or paid plans.
Before purchasing a paid plan, you will be shown the applicable price, billing period, included features, renewal terms, and any other material conditions.
By purchasing a paid plan, you authorize Tribe Systems and its payment processor to charge the selected payment method for the disclosed amount.
Unless otherwise stated at the time of purchase, recurring subscriptions automatically renew at the end of each billing period until cancelled.
You may cancel a subscription using the cancellation method provided in your account or by contacting us at ralphw@mytribesystem.com.
Cancellation stops future renewals but does not ordinarily provide a refund for a billing period that has already begun, except where required by law or expressly stated otherwise.
We may change subscription pricing by providing advance notice. Pricing changes will generally take effect at the beginning of a future billing period.
You are responsible for applicable taxes unless the law requires Tribe Systems to collect them directly.
13. Free Trials and Promotions
Tribe Systems may offer free trials, discounts, or promotional access.
Any specific trial duration, conversion date, renewal price, eligibility requirement, and cancellation deadline will be disclosed before enrollment.
Unless otherwise stated, promotional offers may not be combined and may be limited to one use per person, household, account, payment method, or tribe.
14. Intellectual Property
The Services and all related software, designs, branding, logos, text, graphics, interfaces, templates, features, and technology are owned by Tribe Systems LLC or its licensors.
These materials are protected by intellectual property and other applicable laws.
Subject to these Terms, Tribe Systems grants you a limited, revocable, nonexclusive, nontransferable license to use the Services for their intended personal purposes.
This license does not permit you to copy, sell, license, distribute, modify, publicly display, commercially exploit, or create derivative products from the Services without written permission.
15. Feedback
You may provide suggestions, comments, ideas, or other feedback about the Services.
You grant Tribe Systems permission to use this feedback without restriction or compensation, provided that we do not publicly identify you as the source without your permission.
16. Third Party Services
The Services may connect with or contain links to third party products, websites, payment processors, storage providers, communication platforms, or other services.
Third party services are governed by their own terms and privacy practices.
Tribe Systems does not control and is not responsible for the availability, security, accuracy, or conduct of third party services.
Your use of a third party service is at your own discretion and risk.
17. Service Availability
We aim to provide reliable Services, but we do not guarantee uninterrupted or error free availability.
Access may occasionally be limited because of:
Maintenance
Updates
Security concerns
Technical failures
Internet or hosting interruptions
Events outside our reasonable control
Legal or regulatory requirements
We may modify, suspend, or discontinue all or part of the Services. When reasonably practical, we will provide notice of a material discontinuation.
18. Suspension and Termination
You may stop using the Services at any time.
You may request account deletion by using available account settings or contacting ralphw@mytribesystem.com.
We may suspend or terminate access if:
You materially violate these Terms
Your use creates a security or legal risk
Your activity harms other users
Payment remains overdue
We are legally required to do so
The Services are discontinued
Where appropriate, we may provide notice and an opportunity to correct the issue before termination.
After termination, your right to use the Services ends. Certain provisions of these Terms will continue to apply, including provisions concerning ownership, disclaimers, liability, indemnification, and dispute resolution.
19. Data Export and Account Closure
Before closing your account, you should export or download any information you wish to keep if an export feature is available.
After account deletion, some information may remain temporarily in backups, security records, transaction records, or records that we are legally required to retain.
The removal of information shared with other tribe members may depend on the nature of the information, tribe permissions, and applicable technical or legal requirements.
20. Disclaimer of Warranties
To the fullest extent permitted by law, the Services are provided on an “as is” and “as available” basis.
Tribe Systems does not guarantee that:
The Services will always be available
The Services will be free from errors or security incidents
All information will be preserved indefinitely
AI generated content will be accurate
User Content will be appropriate or accurate
The Services will meet every individual requirement
Nothing in these Terms excludes warranties or consumer rights that cannot lawfully be excluded.
21. Limitation of Liability
To the fullest extent permitted by law, Tribe Systems LLC and its owners, officers, employees, contractors, affiliates, licensors, and service providers will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages.
This includes loss of data, loss of profits, loss of opportunity, service interruption, personal disputes, unauthorized actions by tribe members, or reliance on AI generated information.
To the fullest extent permitted by law, the total liability of Tribe Systems arising from or relating to the Services will not exceed the greater of:
The amount you paid to Tribe Systems during the 12 months before the event giving rise to the claim
One hundred United States dollars
Some jurisdictions do not permit certain limitations of liability. In those jurisdictions, these limitations apply only to the extent permitted by law.
22. Indemnification
To the fullest extent permitted by law, you agree to defend, indemnify, and hold harmless Tribe Systems LLC and its owners, officers, employees, contractors, affiliates, and service providers from claims, liabilities, losses, damages, and reasonable expenses arising from:
Your unlawful use of the Services
Your violation of these Terms
Your User Content
Your infringement of another person’s rights
Your sharing of another person’s information without proper permission
This obligation does not apply to the extent a claim results from the negligence or wrongful conduct of Tribe Systems.
23. Governing Law
These Terms are governed by the laws of the State of Oregon, without regard to conflict of law principles.
Any legal proceeding relating to these Terms or the Services must be brought in a state or federal court with jurisdiction in Washington County, Oregon, unless applicable consumer law gives you the right to bring a claim elsewhere.
You and Tribe Systems consent to the jurisdiction of those courts.
24. Informal Dispute Resolution
Before filing a legal claim, you agree to contact Tribe Systems at ralphw@mytribesystem.com and provide a reasonable description of the dispute.
We will attempt in good faith to resolve the matter informally.
Nothing in this section prevents either party from seeking urgent relief when necessary to protect safety, security, confidential information, or intellectual property.
25. Changes to These Terms
We may update these Terms to reflect changes to the Services, legal requirements, security practices, or business operations.
The revised Terms will be posted on mytribesystem.com with an updated effective date.
When changes are material, we may provide additional notice through the Services or by email.
Your continued use of the Services after the revised Terms become effective constitutes acceptance of the updated Terms.
26. Electronic Communications
By using the Services, you agree that Tribe Systems may provide agreements, notices, disclosures, and other communications electronically, including through the website, the platform, or email.
You are responsible for keeping your email address current.
You may retain a copy of these Terms by printing or saving this page.
27. General Provisions
These Terms and the Privacy Policy constitute the agreement between you and Tribe Systems regarding the Services.
If any provision is found unenforceable, the remaining provisions will continue in effect.
A failure to enforce a provision does not waive the right to enforce it later.
You may not transfer your rights or obligations under these Terms without written permission from Tribe Systems.
Tribe Systems may transfer these Terms as part of a merger, acquisition, financing, reorganization, sale of assets, or similar business transaction.
Section headings are provided for convenience and do not affect interpretation.
